Orthodontica — every patient file, photographs included, in one place

Orthodontic treatment is documented in photographs taken months apart. This is the system that keeps them together with everything else about the patient.

The challenge

A course of orthodontic treatment runs for months or years, and most of what matters about it is visual — a face at the start, the same face eight months in.

Those photographs end up in folders on a shared drive, named by whoever uploaded them, while the diagnosis sits in one document, the treatment plan in another and the paperwork in a third. Answering a question as ordinary as “what did this patient look like before we started, and which method did we choose” means opening four things in three places.

The clinic needed one record per patient that holds the photographs, the diagnosis, the method, the extractions, the documentation and the stage the treatment has reached — and that stays usable when there are thousands of them.

The solution

Every patient has a case: photographs at each stage of treatment, the diagnosis, the methods chosen, extractions, the documentation and the progress captured as the treatment moves. The photographs are part of the record rather than an attachment to it, so the history reads in order.

Finding one case among thousands is the part that decides whether a system like this gets used. Filters run across doctor, patient, gender, history, birthday, diagnostics, extractions, documentation, treatment phase and method, and combine — so “this doctor’s cases at this stage” is one screen, not a search through a drive.

Around the cases sit the lists the clinic actually works from: patients, staff, and the doctors who referred them. Accounts are managed inside the system, so who can open a record is a decision the clinic makes rather than a folder permission somebody forgot to set.

Results

The system holds the clinic’s full history of treatment, and every case in it is reachable through the same set of filters rather than through somebody’s memory of where the folder went.
