The challenge

A language school looks like one business and runs like five, each keeping its own list of the same people.

Who is enrolled in which group is one record. Which classroom is free at six on a Thursday is another. Who has signed a contract, and what it says, is a folder. Who has paid, and how much is still owed, is a spreadsheet. Reconciling them is somebody’s week, every month, and the answer is out of date by the time it is finished.

The cost is not only the time. When the contract and the payment live apart, a student can be sitting in a class the school is not billing for — and nobody notices until the quarter closes.

The solution

One database holds the school: students, teachers, groups, classrooms and the timetable that connects them. A group is not a line in a spreadsheet but a record with people in it, a room, a schedule and a teacher — so a change in one place is a change everywhere it matters.

Contracts are generated from that record rather than typed against it. The student’s details, the course, the schedule and the price come from the system, which removes the class of error where the contract says one thing and the enrolment says another.

Money is tracked against the contract it belongs to: what was agreed, what has been paid, what is outstanding. Cash flow is a view over the same data, not a separate file — and the reporting runs across all of it, so a question about a group, a teacher or a month is answered from one place.
