The challenge
Hiring for a national postal operator is not one vacancy at a time. Every candidate has to assemble a file of documents, and every file has to be checked.
Run through an inbox, that becomes a job of its own. Documents arrive as attachments across several messages, photographed at an angle, named after the phone that took them. Someone has to work out which candidate each one belongs to, which of the required documents are still missing, and then write back to ask — and then track the reply.
The candidate’s experience is no better. They are told they are missing something, without being told what the full list was, and the exchange runs for days over a set of files that could have been uploaded in ten minutes.
The solution
Vacancies and candidate files live in the same platform. When a file is opened for a candidate, they are emailed an account of their own — not a list of instructions, but a place to work from.
Inside it, the candidate sees exactly which documents the file requires and which ones are still outstanding, and uploads them directly. The list is the same list the operator is working against, so neither side is guessing at what “complete” means.
The operator reviews each document as it arrives and marks it accepted or not, and the file assembles itself from those decisions. What used to be a thread of emails is a state anyone can look at: what has been submitted, what has been checked, and what is still missing.
